What happens to your information

This policy explains what QuickCalAI collects, why we use it, and the choices available to you.

1. Who we are and what this covers

QuickCalAI is operated by Rocktown Labs (“Rocktown Labs,” “we,” “us,” or “our”). This Privacy Policy covers information collected through QuickCalAI, including the website, authenticated dashboard, file-processing features, email delivery, and SMS delivery.

By using QuickCalAI, you acknowledge the practices described here. For the terms that govern your use of the service, read our Terms of Service.

2. Information we collect

Depending on how you use QuickCalAI, we may collect:

  • Account information: your Clerk user ID, name, email address, profile image, sign-in and account details, and subscription status.
  • Contact information: a phone number you save or enter when requesting SMS delivery.
  • Uploaded content: the images or PDFs you upload, filenames and file types, extracted event details, generated .ics files, share tokens, and related processing records.
  • Delivery information: the email address or phone number you provide for a specific delivery request and the status of that request.
  • Usage and technical information: pages visited, feature interactions, browser or device information, approximate location derived from technical data, error reports, and performance information collected by analytics and monitoring tools.

3. How we use information

We use information to:

  • Authenticate users and maintain accounts.
  • Process uploaded files and create calendar events and .ics files.
  • Provide downloads and send email or SMS deliveries that you request.
  • Provide, maintain, troubleshoot, secure, and improve QuickCalAI.
  • Manage subscriptions, prevent abuse, respond to support requests, and comply with law.
  • Understand product usage and measure performance through analytics.

We do not use uploaded files or extracted schedules to send marketing messages without a separate lawful basis and, where required, your consent.

4. Service providers and sharing

We share information with vendors that help us operate QuickCalAI, only as needed for their services. These currently include:

  • Clerk for authentication and account and subscription management.
  • Vercel for hosting, workflows, and file storage.
  • Our configured AI model provider through Vercel AI Gateway to analyze uploaded documents and extract events.
  • Resend to send requested email deliveries.
  • Sent and its communications providers to send requested SMS deliveries.
  • PostHog and Vercel Analytics to understand product usage.
  • Sentry to monitor errors, performance, and reliability.

We may also disclose information if required by law, to protect the rights and safety of users or the service, to investigate fraud or abuse, or as part of a merger, financing, acquisition, or sale of assets. We do not sell personal information for money.

5. Uploaded files and public links

QuickCalAI currently stores source uploads and generated .ics files in Vercel Blob. The application uses publicly addressable file URLs so files can be downloaded and delivered by email or SMS. Anyone who obtains the relevant file URL or share link may be able to access that file. Treat a file link like a shareable document link and do not upload highly sensitive information.

A share page may also display a generated calendar file and basic file metadata. We do not make a file publicly searchable, but a link is not the same as access control.

6. Retention and deletion

We keep account information while your account is active or as needed to provide the service. Upload records, extracted events, and generated files are retained while they are needed for account features and file access. You can remove files through the dashboard where deletion controls are available.

Deleting a record may not immediately remove copies held by storage, delivery, backup, analytics, or security providers. Public links that have been copied or cached may also continue to work for some time. To request account or personal-data deletion, email support@quickcalai.com. We may retain limited information where required for legal, security, fraud-prevention, or accounting purposes.

7. Cookies, local storage, and analytics

QuickCalAI uses authentication technologies and service cookies needed to sign you in and keep the service working. The site also uses local browser storage for preferences such as theme selection. Analytics and monitoring providers may use cookies, similar technologies, or identifiers to measure usage, diagnose errors, and improve reliability.

Your browser may provide controls to block or delete cookies and local storage. Blocking essential technologies can prevent parts of QuickCalAI from working.

8. Security

We use reasonable technical and organizational measures to protect information, including authenticated access, encrypted connections, access controls, and service-provider safeguards. No online service or storage system is completely secure, so we cannot guarantee absolute security.

9. Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing. You can update profile details in settings, delete available files from the dashboard, and contact us about requests or questions.

We may need to verify your identity before completing a request. You may also disable optional analytics through available browser or provider controls, although we do not currently offer a separate in-app analytics preference center.

10. Children’s privacy

QuickCalAI is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us so we can investigate and remove it where appropriate.

11. International processing

QuickCalAI and its service providers may process information in the United States and other countries where those providers operate. Those locations may have data-protection rules different from the rules where you live.

12. Changes and contact
